Online Management System is an information system composed of three key features: account management, file management and client management. Account management, file management and client management can be accessed depending on the roles and responsibilities of an end user. For example, in account management, owner, lawyers and encoders are end-users allowed to access this module. Due to the fact that the owner can hire or terminate an employee without consulting anyone same with lawyers as well as encoders that can add or delete a client. Yet, the three modules have one thing in common. It can all be access by an IT Administrator since it has all the privileges of all created accounts except that some privileges still needed to be authorized before usage.
The Account Management Module enables the employees to create user account administration based on assigned user roles and responsibilities. The module can create three accounts: system account, agency accounts and common accounts. The module enables the employees to add a new account with associated password, thus, it can also reset passwords when user fail to recall it. Likewise, the module enables employees to search, edit, delete or manage an existing account with or without authorization from other accounts. Lastly, the module enables employees to suspense an existing account when its association to the law office is temporarily canceled.
The File Management Module enables the employees to maintain the personal registers of the law office through controlling the updating and version of files uploaded on the system. Similarly, the module enables the employees to gather all the related details of a certain file from different offices and consolidates the details in a single section. Finally, the module enables employees to search, add, edit, authorize, view and delete uploaded files.
The Client Management Module enables the employees to manage the list of clients’ profile and clients’ case. Also, the module enables the employees to search, add, edit, view and delete client’s profile and case. Ultimately, the module provides the client output data for the employees and summary case data required by lawyers and secretaries for planning and resource allocation purposes.
