Hello, I am part of a company that provides arts workshops (music, dance, costume makes, etc.) and we are looking to develop a system to help us with our day by day management. I have put together some info that we need. Apologies if it repeats itself and structure of this as I wasn't sure how the best to present and what info you may need.
Inquiry/booking system
Contact/client Management
Staff payment management (freelance basis)
Enquiry for one or multiple events and activities
E.g.
- 1h drumming workshop
- 3 days event with Drumming and Dance on first day, circus and mask making on 2nd day and teambuilding with teachers on 3rd day
- Weekly activity session throughout the whole year
Activities can be delivered by different facilitators
Database needs to be able to be accessed by multiple users (5 max) at the same time
Database needs to be able to generate a quote with a breakdown of costs, be very user friendly, keep track of all inquiries with their status, correspondence, follow ups and actions to be made.
Once inquiry become a confirmed booking, it needs to be able to generate invoices (deposit and final invoice), keep track of payments, pre assign staff to each activity without double booking them and enter their breakdown of fees like fee, travel, materials bought, accommodation (most staff are freelancers), keep track of staff payment, record and keep track of feedback from client and staff.
We need to see clearly the events coming up, who will be working on them , if follow ups has been made, if staff have been booked, alert of payments to client or to staff outstanding.
Outcomes
- Generate quotes, invoices, feedback forms and Automatically send them where applicable
- Easily see list of jobs coming/past events
- Easily see who is doing the job
- Flag jobs with no staff booked
- Track payments from clients
- Track staff payment
- Automatically add event to calendar with relevant info inc staff
- Be able to attach email to clients/jobs
- Track communication history (emails, invoices, feedback)
- Be able to generate reports easily
