1.1 Background We desire to execute a Web Store based on the Magento shopping cart application. The site will be ultra-modern and professional, and will utilise the whole complement of functionality provided by the Magento application. 1.2 Understanding of the Requirements The Developer will be required to have and demonstrate a complete range of creative, technical, usability and project management skills to allow for the rapid conception, specification and deployment of the website. 1.3 The Developer’s Offer The Developer will make professional input as to the scoping and specifications of the website in order to define usability, functionality, contents, user, and client requirements. He will provide appropriate documentation outlining all functional requirements, and information architecture. He will make creative input so as to produce proposed concepts/templates for the look and feel of the site, and following approval of a chosen concept/template, will perform the integration with Magento as required. 1.4 Project Outputs 1.4.1 Magento Edition Magento Professional Edition. 1.4.2 Accessibility and Usability The website will be accessed globally through a multiplicity of web browsers. Web accessibility standard must conform to a minimum of W3C WAI ‘A’. 1.4.3 M-Commerce The Developer will enable M-Commerce with mobile-optimized versions of the Web Store to attract and convert customers on the go. Website will automatically detect mobile browsers and show the mobile-optimized version of the site. 1.4.4 Multi-Language Functionality – Google Translate The Developer will add Google’s website translator functionality ‘Google Translate’ to the Website to provide instant translation of English into a language of the visitor’s choice. 1.4.5 Search Engines and Directories Developer will instruct the search engines to catalogue the pages of the website for the purposes of developing natural listing placements. 1.4.6 Metadata The accessibility of the proposed website content will allow automatically for metadata to be generated. Development will allow site administrator the ability to add, edit, and delete metadata easily as and when necessary. 1.4.9 Browser Considerations The system will be built to 1024 x 768. The site will be built & tested for the latest versions of the following browsers on both PC & Mac: Internet Explorer, Firefox, Safari, Opera, and Google Chrome. Logo and Attributes 2.1 ‘Look and Feel’ and Configuration The Developer will work with the Employer to choose and/or create an appropriate ‘look and feel’ for the Web Store. This can be through the acquisition of suitable themed Magento-based template. He will also undertake the configuration of the Web Store, which will comprise of the following: 2.2 Customisation with Corporate Information The Developer will customise the Web Store with the corporate information of the Employer. 2.3 Customer Registration 2.3.1 Before anyone can check out, and successfully buy anything from the Web Store, they must first of all be registered. 2.3.2 A customer who is not registered or signed in will be allowed to add products to his shopping cart without registering or signing in, but will be asked to register or sign in at the point of check out. After successful registration or signing in, the products they initially added to their shopping cart must remain in the shopping cart, ready for check out. 2.3.3 Registration will require email verification. 2.3.4 Signing in will require ‘Captcha’ or any other suitable live verification mechanism. 2.3.5 A registered user must be able to log into his account and edit/update his personal information. 2.3.6 Admin must be able to manage registered users, viz: add, block, modify or delete users. 2.4 Retailer Registration 2.4.1 Admin must be able to manage Retailers, Suppliers, and other corporate affiliates whom it does business with. 2.5 Currency Operations 2.5.1 Admin must be able to activate three or more currencies options of his choice, based on which the product prices will be displayed to the customer. 2.5.2 The initial three currencies will be Pound Sterling, Naira and Ghana Cedi; exchange rate for Naira and Ghana Cedi will be benchmarked against the Pound Sterling. 2.5.3 Developer will set up the Web Store to display prices in Pound Sterling, Naira or in Ghana Cedi, depending on the customer’s choice. 2.5.4 Default currency of display on Home Page is Pound Sterling. 2.5.5 Currency for all accounting purposes is Pound Sterling. 2.5.6 With a single click, Customer can select to view prices in Pound Sterling, Naira, or Ghana Cedi. 2.5.7 Admin must be able to manage exchange rates for currencies, as well as relationships amongst currencies, and any changes in the exchange rates must reflect in all the product prices across the entire Web Store. 2.5.8 Base Currency of all transactions is Pound Sterling, but customer may choose to effect payment in Naira equivalent or in Ghana Cedi equivalent, or any other currency equivalent. 2.6 Payment Platform Integration 2.6.1 The Developer will configure and integrate the following payment gateways with the Magento application: 2.6.2 For card payments in the United Kingdom: Magento Connect or any other suitable payment gateway 2.6.3 For card payments in Nigeria: InterSwitch, MasterCard, Visa, VPay, and ETranzact 2.6.4 For card payments in Ghana: E-zwitch and ETranzact, MasterCard, Visa. 2.6.5 For card payments in other countries, the Developer will integrate them in future as they become available. 2.7 Product Categories 2.7.1 Admin should have the ability to create, modify and delete product categories and sub-categories. 2.7.2 The category menu will be displayed on the left column of the Web Store. 2.7.3 A special category called ‘Export Only’ must be created for products which are for the export market only, and cannot be sold in the United Kingdom. 2.8 Speciality Shops 2.8.1 Developer will cause Admin to have the ability to create, modify and delete speciality shops, links to which can be displayed in the top menu bar on the Home Page, or in such prominent positions on the Home Page as to give good visibility. Admin will have the option to edit the menu tabs, images, introductory text, and other content. 2.8.2 Such speciality shops could include The Wedding Shop, Jewellery Shop, Fashion Shop, and The Golf Shop. 2.9 Shopping Process Guidelines 2.9.1 A customer, who puts items in his shopping cart whilst prices are displayed in Pound Sterling, will be regarded as shopping in the Pound Mode. 2.9.2 A customer, who puts items in his shopping cart whilst prices are displayed in Naira, will be regarded as shopping in the Naira Mode. 2.9.3 A customer, who puts items in his shopping cart whilst prices are displayed in Ghana Cedi, will be regarded as shopping in the Ghana Cedi Mode. 2.9.4 A customer, who puts items in his shopping cart whilst prices are displayed in Any Currency, will be regarded as shopping in the Any Currency Mode. 2.9.5 A customer shopping in the Pound mode may place items which are not from the ‘Export Only’ category in his shopping cart, and can proceed to Pound mode checkout for delivery to the United Kingdom only. Payment with this option will be in Pound Sterling by credit card or cash. Delivery will be to the UK address registered to the credit card, or to any United Kingdom address of the customer’s choice if he pays cash. 2.9.6 If a customer shopping in the Pound mode tries to place items which are from the ‘Export Only’ category in his shopping cart, the customer will be advised to switch to a different currency mode (Naira mode or Ghana mode, or any other currency mode outside of the United Kingdom). Payment with this option will be through the local payment options for that currency mode, and delivery options will be as configured in the country of the currency mode. 2.9.7 If a customer is shopping in the Pound mode and has already placed items which are not from the ‘Export Only’ category in his shopping cart, and then tries to add any item from the ‘Export Only’ category into the same shopping cart, he will be alerted that the item he is trying to add to his shopping cart is for export only, and he will be asked to either select a different item, or switch to a different currency mode (Naira mode or Ghana mode, or any other currency mode outside of the United Kingdom). If the customer decides to switch to a different currency mode, all the previously selected items which are already in his shopping cart must remain in the shopping cart, but the currency of all the items will change to that of the newly selected currency mode. 2.9.8 A customer shopping in any currency mode other than the Pound mode can place any item in their shopping cart and proceed to checkout. Payment will be through the payment options for that currency mode, and delivery options will be as configured in the country of the currency mode. 2.10 Checkout and Payment Processes 2.10.1 If a Customer checks out in the Pound mode: 2.10.1.1 VAT is added to the checkout sum. 2.10.1.2 Delivery options are for the United Kingdom only. 2.10.1.3 Payment is taken in Pound Sterling. 2.10.1.4 Payment can be taken by credit or debit card, with delivery to the address registered to the card. 2.10.1.5 Invoice denominated in Pound Sterling is generated, and customer can print copy. A copy is also sent to the email address of the customer. 2.10.1.6 All invoices must have Order Numbers assigned to them. Order Numbers generated for checkouts in Pound mode must have the prefix ADU followed by a seven digit serial number. An example of invoice numbers generated for checkout in Pound Sterling is ADU0000001, ADU0000002, ADU0000003, ADU0000004, etc. 2.10.1.7 When payment is successfully taken off the card, a receipt is automatically generated. The receipt will reflect customer’s order details and customer can print copy. A copy is also sent to the email address of the customer. 2.10.1.8 Payment can also be taken by cash, with delivery to any United Kingdom address. 2.10.1.9 Invoice denominated in Pound Sterling is generated, and Invoice contains a list of United Kingdom banks and account numbers where cash payment can be lodged. 2.10.1.10 Customer can print a copy of the Invoice, and a copy is also sent to his email address. 2.10.1.11 Item is removed from stock and reserved for customer for a fixed period of time; default reservation time is 4 hours. 2.10.1.12 Admin must be able to edit the duration of the reservation time. 2.10.1.13 Customer is advised to quote Order Number as the bank Payment Reference so that the payment can be tied to the order. 2.10.1.14 If payment notification is not received after the expiration of the reservation time, product is automatically added back to stock and Invoice is automatically cancelled. 2.10.1.15 Customer will be sent an Order Cancellation notice by email. 2.10.1.16 If notification of cash payment is received before the expiration of the reservation time, a receipt is generated manually, and Admin must designate the Invoice as paid. The receipt will reflect Customer order details and a copy of the receipt is sent to the email address of the customer. 2.10.1.17 If notification of cash payment is received after the expiration of the reservation time, a Credit Coupon for the amount in the currency of payment is generated manually. Admin must be able to send a copy of the Credit Coupon to the email address of the customer. 2.10.2 If a Customer checks out in the Naira mode: 2.10.2.1 VAT is not added to the checkout sum. 2.10.2.2 Collection is either in the Collection Centre in Nigeria, or through delivery options to an address in Nigeria only. 2.10.2.3 Payment can be in Pound Sterling, in cash only. 2.[login to view URL] Invoice denominated in Pound Sterling is generated. Invoice also contains total Naira equivalent amount. 2.[login to view URL] Customer is required to pay the Pound Sterling amount shown on the invoice. 2.[login to view URL] Invoice has Order Number automatically assigned to it. These include InterSwitch, WebPay, VPay, ETranzact, MasterCard, and Visa. 2.[login to view URL] Invoice has Order Number automatically assigned to it. 2.[login to view URL] When card payment is successful, a receipt which reflects the customer’s order details is generated automatically. Admin must be able to send a copy of the Credit Coupon to the email address of the customer. 2.11 Delivery Processes 2.11.1 United Kingdom: 2.11.1.1 Developer will configure delivery options based on weight, city, and delivery method. 2.11.1.2 There is no option for self collection in the United Kingdom. 2.11.2 Nigeria: 2.11.2.1 Developer will configure delivery options based on weight, city, and delivery method. 2.11.2.2 There is the option for self collection from the Collection Centre in Lagos, Nigeria. 2.11.3 Ghana: 2.11.3.1 Developer will configure delivery options based on weight, city, and delivery method. 2.11.3.2 There is the option for self collection from the Collection Centre in Accra, Ghana. 2.11.4 Other Countries coming soon: 2.11.4.1 Developer will enable Admin to configure delivery options based on weight, city, and delivery method, with the option for self collection where applicable. 2.12 Order Processing At the back end of the Web Store, a User must be able to: 2.12.1 Raise a Purchase Order. 2.12.2 Make record of payment to a Supplier. 2.12.3 Create a Goods Received Note. 2.12.4 Enter new stock quantities into Inventory. 2.12.5 Enter product information like product name, catalogue number, image, size, weight, dimensions. 2.12.6 Assign prices in Naira, Ghana Cedi, or any other currency of choice. 2.12.7 Upload product information onto Web Store so that it can be viewed by Customer. 2.12.8 Enter details of a manual sales transaction for ‘walk-in’ customers or ‘telephone’ customers. 2.12.9 Create and apply discount coupons or vouchers. 2.12.10 Create logs for customer relationship management issues. 2.12.11 Place a product on ‘Special Offer’. 2.13 Content Management 2.13.1 Developer will ensure that all content management modules are fully functional to allow for management of such things as Banners, Menus, featured product displays, Front Page, Header, Footer and Copyright information, photographs, multimedia, News items, contact information, ‘Order by Telephone’ – number, and Store Locator information. 2.13.2 Developer will also activate other CMS modules like Blogs, Forums and Chat Groups, which can be targeted at special sections of the site like the Speciality Shops. 2.13.3 Developer will configure the site Search function to enable users and customers to search the Web Store, and filter their search by retailer, brand, price, category number, or registered user. 2.14 Security Certificates 2.14.1 Developer will install a site SSL Security Certificate with Extended Validation obtained from Comodo. 2.15 Subscription Management 2.15.1 At the point of registration, Developer will require users to opt in, and agree to receive email notifications and updates by email 2.15.2 Also at the point of registration, users will be requested to opt in to receive newsletters via email. 2.15.3 ‘Sign up for email notifications/newsletters’ checkbox must be available during registration and must be unchecked by default. 2.16 Customer Loyalty Scheme 2.16.1 Developer will activate points-based loyalty scheme to enable customers to earn rewards for their spending.
