Seeking an energetic, personable, detail-oriented individual with an eye for interior design and a passion for customer service to help stage and manage luxury vacation rental homes and guest experiences in Alexandria, Virginia. The core job responsibilities include:
Monitor guest reservation and inquiry activity on Poshabodes’ cross-channel online booking platform, including:
- Monitor and respond to reservation inquiries across booking platforms from potential guests
- Maintain, monitor and manage guest reservation calendar on multiple channel sites to prevent double-bookings and plan for upcoming guest stays
- Handle coordination and communication between various parties (e.g., homeowner, property manager, stager, organizer/declutter/packer, social media staff, etc.); follow and refine typical process and timeframes
Oversee the home preparations of Poshabodes’ luxury rental homes in anticipation of guest stays, including:
- Oversight of cleaning crew to ensure all Poshabodes quality and cleanliness standards are met (e.g., all areas of the home are thoroughly clean, beds made to hotel standards, fresh robes, towels, slippers, etc.)
- Managing the home staging and preparations to ensure a 5-star experience for guests (e.g., shop for and arrange fresh flowers, snack basket, champagne/wine, pastries, handwritten welcome card, set music/lighting ambiance, refill toiletries, etc.)
- Disinfect high touch areas before guest arrival (e.g., remote controls, doorknobs, light switches)
- Water plants, if necessary
- Set TVs to guest mode
- Confirm wifi and printer are working as expected
Assume accountability for the management of the guest experience associated with a luxury vacation rental booking of a Poshabodes property, including:
- Share information and details guests need pre-arrival, during their stay and post-departure (e.g., smart lock access instructions, directions/parking suggestions, procurement of parking passes if needed, link to guest book, etc.); communications may include text, email and/or phone call
- Help explain house rules to new guests and ensure compliance
- Monitor guest arrival via smart lock application to ensure successful access to home – remotely lock/unlock house if needed by guest (note: in-person greeting of guests is generally not required)
- Manage the response to any issues that arise during a guest stay (e.g., leaks, pests, electrical, house alarm, etc.); coordinate with third party contractors as needed to remediate any issues
- Complete inspections after guest departure and manage any next steps (e.g., minor repairs, schedule any maintenance, file any insurance claim, etc.)
- Coordinate return of any items left in the house by guests
- Review renter feedback surveys and respond appropriately and timely, ensuring appropriate issue resolution, when needed, as well as provide feedback on guests on the various channel platforms
- Keep track of multiple complex guests stay details and flawlessly deliver on their needs
In coordination with the Home Care team, manage key home maintenance activities including:
- Replace batteries in smoke alarms, smart locks
- Replace light bulbs as needed
- Ensure subcontractors are lined up for basic property maintenance as well as landscaping, lawn mowing, irrigation, snow removal, etc.
- Create schedule for periodic maintenance activities (e.g., window washing, chimney cleaning, etc.)
- Maintain a list of preferred contractors to service the house
Work closely with Operations Lead to evaluate and improve operational processes and procedures as part of our continuous improvement initiative, including:
- Assist in managing inventory of bedding and bathroom supplies
- Review and suggest updates to the online Guest Book
- Support marketing efforts and assist in growing reservations
- Maintain knowledge of best local area restaurants, exhibits, services, shopping, etc.
