We are an audio visual company and have a quoting format that used excel; this was used when we were part of a former company.
There are many excel documents in this quoting format; these include the formatted quote that is printed off and given to the clients. This formatted quote then links to other excel documents such as T&C's, the hardware database, etc. These can be DropBoxed over for viewing.
Basically we need a simplified quoting tool:
We need one template to open where we enter the details of the project address, the contact name, and then we write a brief on the project. When this is printed off, our logo appears at the top of the quote, then the project address, the contact name and then our address at the bottom. The next page (inside cover) is a bit about our company, then the second page has the project brief. We would also like to insert a map. With regards to this text, we would prefer to cut and paste the info in, instead of pressing a button which imports a template.
When we quote, we need to first input how many floors there are and then we add rooms to the floors. Within those rooms, we then add items from the hardware database. There could be as many as 20 items in each room. These products are added by using a drop down menus or by "search"; These products have the following headings and there would be drop down menus for the first 4 of these headings:
Manufacturer:Model:Category:Subcategory:Short Description:Part Number:Discontinued (True/False):URL:Cost: etc. We already have this CSV files.
The hardware database will need to be updated routinely (by us) and this needs to be exportable/importable via CSV. There also needs to be a button on the quote page to "add product".
Not all of these will be shown when the quote is printed off.
We will need to be able to insert a picture within the product (on the hardware database) which is shown on the printed off quote.
When a product is added to the hardware database, it will need to show the date it was added. After 90 days, the price needs to go RED (which will show on the quotes) and we will need to be able to search by last updated. Once a product has been updated, the price revers back to black and the 90 day count down timer restarts. This ensures that products are constantly updated.
The prices will need to be totaled after each room and then a grand total at the end. We can send over how the format should look.
With regards to adding the contact (mentioned at the start) it would be good if we could use a contact list that we have (and can routinely update); if it is a new contact then there is a button to "Add New" which then adds them to the database.
We would ideally like to be able to print off a hardware list of the items used in the quote, categorised by rooms. We appreciate that there will be duplication if the same product is used repeatedly in the quote.
All of these templates will be held on our server and there will be multiple 3-4) people accessing at any one time.
We would like to suggest a web-based application developed where you can enter all of these details and utilize the system for many users. Please read on.
In the web-based application, we will provide you with an HTML template where all the elements of the page can be adjusted easily. Even without a need for recompilation and build of the application.
All the content elements will be presented to user so that he can cut/copy and paste any info s/he likes.
We can integrate it with Google Maps so you can even include dynamic maps in it!

These are easier to do. We may ask some questions after we see CSV files.
We will provide mechanism to import/export CSV.
We can make all of them optional/non-optional. This is flexible.
We will provide a mechanism to upload pictures.
Admin screen will display all of them in the requested style (red, black, etc.) and this will be automatically rendered by the system.
Contact management module will be provided.
If you want us not to show duplications, it is just a matter of adding some conditions and clauses in the query code.
Since you have a server, we can publish this on your server.
