Our client’s lab receives sample information in an Excel file, which is then used to create multiple plates for analytical testing. The same sets of samples are usually split into three method plates, which are different in position on the plates. Different methods plates also use different reagents for QC, and then the data is used by outputting it to method-specific acquisition sheets. The acquisition sheets are formatted in Excel, but then they are pasted into our analytical testing software to create the actual run for that particular plate. The acquisition file literally tells the software, and therefore the machine, how to run the batch of samples. The file also tells the machine which sample number or standard is in each well of the plate, and the machine/software uses this information to associate the sample results or QC results with the appropriate sample ID/QC for the run. The testing parameters for a patient sample are determined by these sheets, and the sheets make sure that the correct results are paired with each patient. The conversion of the input information into the correct acquisition templates is therefore absolutely necessary for our client’s lab to report accurate patient results in a timely manner. There is no room for error, and the template sheet has to work right every time. The lab has been manually scanning the barcodes on each sample test tube into each method template before they run the samples, but the lab recently had to re-plate an entire batch of samples because some of the test tubes had been moved (long after the actual plates had been created from the samples). We need a way to keep everything streamlined and accurate, and we would like some way so that the same (original) plate input file can be used to create all of the method plate templates for any day/batch. The acquisition files need to have a plate map that identifies the QC names, as well as the sample accession (ID) numbers, as they are on the plate (including the plate coordinates). Each output sheet also needs to output the correct acquisition template(s) for creating the run. I have samples the two different forms of input sheets, as well as the templates for all 6 output files. There are 6 because each of the 3 method plates may be run with a calibration curve or without a calibration curve. I don’t know how exactly you would do this, but I would like some simple way to just select the input file, select a method, and then have the proper acquisition sheet/plate map output for us. The input sheet will show whether or not there is a curve on the plate, but they may have to look at the input file and then select whether or not it has a curve. That would be fine, but ideally we think there would be less room for error if they never have to mess with the input sheet (and just have the Excel sheet do it). They are rechecking every sample each time they run a plate right now, and they would like to have something quickly because it is really slowing down the lab workflow.
