Executive assistant
An opportunity has arisen for a Personal Assistant to join LAETICIA MORENO. The individual will provide organizational and administrative support to the CEO, by keeping them abreast of requests, proposals and general information from internal and external sources.
Main duties will include but are not limited to:
Communications. Providing clear regular communication, confirming all activities and actions taken on a daily basis.
On a daily basis:
Liaising with other contributors on behalf of the LAETICIA MORENO. Providing feedback and ensuring communication is communicated in both directions.
Diary management Working with the CEO as well as external industry contacts. Organizing and coordinating meetings and conference calls when needed, often encompassing various time zones. Being aware of any sensitive issues that require immediate and urgent attention
INBOX Monitoring the inbox of LAETICIA MORENO flagging emails and, where appropriate, responding to requests on her behalf.
Planning Anticipating in advance meetings and deadlines to come and what information will be required to prepare such meetings and deadline in a timely manner.
Social Networks: Manage social network on a daily basis (preparing content, publishing calendar, respond to fans etc.).
Contact Information. Maintaining a comprehensive contact database of all vendors, clients, auxiliaries with information such as title, positions and special contact information. Ensuring they are up to date and include any international dialing codes.
Find the appropriate bloggers to blog about Laeticia Moreno’s branding.
Punctual:
Travel Plans. Coordination of company’s activities and accommodation arrangements and provide detailed itineraries for all trips, ensuring all information is also accessible in Outlook
Administrative duties. To complete accurately administrative duties such as filing of administrative documents online.
Scheduling. Manage business and personal schedule appointments, events, meetings and schedule in calendar.
On a yearly basis:
Yearly plans Prepare detailed yearly plan of all activities required to meet our seasonal and yearly target (trips, merchandise orders, payments, photoshoots, hiring professionals, go live days etc.)
Yearly calendars Prepare calendars for: social networks events, fashion events, yearly milestones)
The Ideal Candidate
WHAT WE EXPECT FROM YOU:
Degree level educated or equivalent
Languages: English (French oral and written is a definite plus)
Microsoft Office Suite
Skype knowledge
Excellent written and spoken English
Proof reading
Proven experience undertaking a similar role
Experience of working in a fast-moving environment with deadlines and priorities
Knowledge of and passion for the creative and luxury industries
