Master Operational Communication, Execution, and Validation System

The creation of a one stop shop for managing a UPS operation. To deal with the Training, accountability, compliance, and communication for a group of over 300 people; 2 separate buildings. This system I envision eliminates redundancies, increases efficiencies, streamlines information, creates structure both to properly plan as well as to enforce the each of every person’s adherence to the cause. It deals with these 4 pillars.

This "project" came from a simple thought:

"what if I knew everything my employees knew, every bit of data that pertained to my operations and had a streamlined way to give that to my people? From there I thought, what if I created systems leveraging excel formulas, access programs, and untold other computer based technologies to make most of the more tedious, redundant , and repetitive tasks easier to produce if not automatically?"

Those simple ideas led me down a path that I have been shocked with just how big, hairy and audacious of a goal that really is. Currently I have 5 or 6 excel template that, I think, get me close to the beta version of the system. My problem is that these templataes need to interact with dozens of documents and reports as well as with themselves in an integrated and streamlined manner.

1.) **The Supervisor Daily/Weekly Activity Planner**

(an agenda of each day of the week for each of my 8 Full time supervisors that incorporates the safety training, the production improvements, the compliance of both their people and themselves, as well as their share of the entire operations responsibilities. This will be a document that starts as a planner and turns into a daily itinerary and results tracker)

2.) Manager Daily and Weekly Activity and Validation Planner/Tracker **

My version of the above. More validation based than task based. Also both a planner and a daily reporting location.

3.) Weekly Center Planning Template**

A master report that goes into depth on the results from all corners of the center. A place where those results are then in turn used to shed light on areas of focus for the upcoming weeks, to share initiatives and directives coming down the pipe, to communicate and ensure fluency on the mundane factors of the business (vacation coverage, safety plans, etc...) and a place where the following weeks planners take initial shape.

4.) Center Management Activities Log

This is a document that acts as a checklist for all the employees receiving the training or interaction that the organization requires us to have with them.

5.) Daily Results Report

This is going to be a vital and amazing piece of this system. This will be generated on the daily and will comprise:

5a) Previous days results

5b) Rolling data for tracking purposes

5c) Validation of previous days planned activities

5d) Current days plans and activities

This report is going to need to draw from literally dozens of different reports. Most of those will be institutional sources for this data but some will be internally developed. This will address one of the largest challenges that we have, in that there are dozens of places one must go to get the all the answers they seek. This will create a one stop shop.

Within the structure that this will create I have umpteenth reports and tools that I want created to facilitate the ease of the above tasks. I have attached some of the documents so you can see what I am talking about. Obviously there will need to be some in depth advisement, from me to you, to educate you on what most of this stuff means. Yes, I a portion of this job, a large portion, is seeking someone with the expertise in excel, access and whatever other technologies can be leveraged to achieve my goals. Yet, the person I optimally seek is someone who can be an engaged contributor to my vision. Someone who can add value that I miss and make it even better than I know it can be.
