Top Executive Assistant/CEO "Gatekeeper"

A CEO of a highly successful residential real estate team based in LA/BH needs a uniquely qualified individual to function as their personal and professional "air traffic controller" and gatekeeper. The individual may start as a virtual exec asst, but as the world gets back to normal, it's likely that the individual will need to transition to either a hybrid or a full time, in-office opportunity. Key tasks are as follows;

i. CEO/Owner’s personal and professional gatekeeper

ii. Calendar/schedule management and Ownership

iii. Understand the “daily” to do list, with an eye towards the overall schedule over the course of the next 3-4+ weeks

iv. First point of contact for the office; management of all in-bound inquiries and communications

1. Acumen for client lead nurturing and qualification--not just a message taker. Can talk to "on the fence" future clients, and be savvy enough to talk with them, and actually create a warmer or qualified lead that can then be turned over to a member of the company sales team

2. Turn in-bound calls, emails, posts, web submit forms, etc. into vetted, qualified leads, and then turn the leads over to Sales

3. Use of CRM system or another platform to create new contact record and input key info?

v. Document creation & management

1. Email management

2. Correspondence

3. Gifting and Thank you’s for clients/transactions

vi. Usurp workarounds to the CEO and be the true gatekeeper of his personal and professional calendar/schedule

Requirements to be successful in the position:

i. Minimum of five years of experience as an executive assistant for a C-Suite executive

ii. Ability to handle personal as well as professional tasks (e.g., vacation scheduling and logistics, party planning, etc.)

iii. Real Estate/CA Real Estate office experience preferred

iv. Accounts payable/receivable knowledge—ability to interface with Accounting and keep CEO informed as needed

v. Full clerical and administrative experience (processes and tools)

vi. Strong phone presence

vii. Tech/Tools Experience:

o Project Management software

o Microsoft Office or Google Sheets

o. Presentation Software

o Some CRM experience
