Need help to organise an extremely large backlog of links, bookmarks, todos, ideas, notes, etc. There are thousands of items, across many documents, spreadsheets, and other types of files These need to be organised into an obsidian vault, according to my current system of filing You will need to learn the meaning of certain specific terms, people's names, patterns, etc. that I use (by communicating with me) and then extrapolate this information to apply to other areas You cannot use AI for any part of this project This is a very large project - and the scope will need to be negotiated and communicated clearly. It is complicated, very detailed, and needs to be completed with a high degree of accuracy Please do not submit an automated bid - I am looking for someone with an extremely good attention to detail, with experience completing a similar or related organisation project. In your bid, please tell me about any relevant experience you have, and why you would be the best possible person for this project. Tell me what information you need from me, and how we'd go about sharing the information needed. Please tell me whether you would complete this process manually or would you try to automate aspects of it. If you can give a specific example of a prior experience (paid or unpaid, it doesn't matter) where you have organised something extremely complicated with a very high degree of accuracy, this would be highly regarded. Thank you

Hello, Your project caught my attention because it requires something I genuinely enjoy: organizing large amounts of information with accuracy and consistency. For this project, I would complete the organization manually rather than relying on automation, since your filing system depends on understanding your personal terminology, naming conventions, and relationships between notes. I believe the first step would be to learn your existing Obsidian vault structure, understand the meaning of your categories, tags, and recurring patterns, and then apply those rules consistently across the remaining files. From there, I would organize a small sample first so you can review my approach. Once you're satisfied with the structure and accuracy, I would continue with the remaining backlog while keeping regular communication throughout the project. One similar experience I have is organizing and restructuring large datasets containing thousands of records, where consistency and careful attention to detail were critical. I understand the importance of following established rules rather than making assumptions, and I always prioritize accuracy over speed. I would be happy to discuss the project scope, estimated timeline, and workflow before we begin. I look forward to hearing from you. Best regards, Noor

I have worked on data orgnization on Notion in the past, where clients shared me all the files in PDF, excel mostly. At that time access to Google drive was given. Since you have lot of data we can use Either Google drive or Wetransfer for sharing files/documents. We transfer is much better for large volume of data. As mentioned i completely understand that you must be having a process of doing this exercise where i need to get myself familiar with the terms, fields, Data input and all other things. If we can have a screen sharing discussion for showing me the whole process, that would be great. You can also know my capability during our discussion. I will prefer to do it completely manually because any automation can do mistakes as we need to train it first with lot of examples that itself a huge tedious job. So i will not go that way. Regarding attention to detail and my accuracy - I can only write that i will provide 100% accurate work. But to prove this, i suggest, let us have a meeting first and show me the process and then allow me to do a sample work Then you will have better confidence on me. If my proposal attracts you, and you wish to have further discussion, please let me know the suitable time and we can discuss. Looking forward to hear from you. Thanks, Swati

Hi, I understand this is not just “filing notes” but learning your system, your terms, people, patterns and then applying that logic carefully across a large backlog. I would handle this manually, not with AI. My process would be to start with a small sample of links/notes/files, learn your current Obsidian structure and naming rules, confirm any unclear terms with you, then document the rules as I go so the filing stays consistent. Relevant experience: I’ve organised large, messy collections of research, notes, spreadsheets, links and documents into usable systems where accuracy and consistency mattered more than speed. To begin, I’d need access to your current vault structure, a sample of the backlog, and a short walkthrough of your key terms/categories.

Hello, I’d be happy to help organize your large backlog of links, bookmarks, notes, tasks, and ideas into a structured Obsidian vault with a strong focus on accuracy and consistency. I understand that this is not just a simple data transfer task—it requires learning your personal filing system, understanding your terminology, naming patterns, and relationships between different concepts before applying the structure across thousands of items. My approach would be: * First, understand your current Obsidian structure and organization rules * Establish clear guidelines for categorizing and linking information * Manually review and organize content with careful attention to detail * Maintain consistency across files, notes, tags, and references * Provide regular progress updates and clarify uncertainties when needed I have experience handling complex information organization projects involving documents, spreadsheets, research materials, and structured data where accuracy and attention to detail were essential. To begin, I would need access to your current filing system, examples of correctly organized notes, your preferred communication method, and guidelines for handling unclear or duplicate information. I’d be happy to discuss the scope and create a workflow that ensures the project is completed carefully and accurately. Best regards,

I understand you're looking to structure a vast repository of information into an Obsidian vault, mirroring the principles of a Zettelkasten system to create a connected knowledge base. My experience in developing and implementing complex information architecture for large-scale personal knowledge management systems, particularly those requiring nuanced categorization and semantic linking, directly addresses this challenge. My approach will involve an iterative process of initial data ingestion and classification. I will begin by establishing a robust tagging and linking strategy, drawing parallels from your existing filing system and learning your specific terminology through direct communication. This will involve creating a preliminary structure within Obsidian, followed by a systematic import and categorization of your diverse data sources (documents, spreadsheets, etc.). I will then refine this structure based on your feedback, ensuring a logical and interconnected vault that facilitates efficient retrieval and discovery of your notes, links, todos, and ideas. My focus will be on manual, meticulous organization, adhering strictly to your requirement of no AI. To ensure alignment from the outset, could you clarify the primary objective you hope to achieve by organizing this backlog? Additionally, what is your preferred method for knowledge review and synthesis within a Zettelkasten-like system? I'm eager to discuss how my expertise can bring order and accessibility to your extensive collection.

Hi, There I understand this is not just a basic filing task. You need someone who can carefully learn your existing Obsidian system, understand your terms, people, patterns, and note logic, then apply that consistently across a very large backlog without losing context. I would complete this manually, not using AI for any part of the classification or decision-making. My approach would be to first review your current vault/system, study examples of correctly filed items, learn your naming/tagging rules, and create a clear decision log. Then I’d start with a small pilot batch so you can check accuracy before we scale to the full backlog. I’d need access to the documents, spreadsheets, bookmarks/links, current Obsidian structure, and a short guide to important terms, people, and categories you use. We can share files through Google Drive, Dropbox, or any secure method you prefer. I’ve handled detailed organisation work before involving mixed notes, links, tasks, references, and documents where accuracy and consistency mattered. I’m detail-focused, patient with complex systems, and comfortable working in structured batches with regular communication. I’d suggest beginning with a paid test batch so we can define the scope, rules, and workflow clearly before continuing. Waqas Ahmad

Hello, "extremely large backlog of links" – you need every bookmark, todo and note filed precisely in your Obsidian vault without any AI assistance. I will create a custom tagging schema using Obsidian’s YAML front‑matter and nested folders, then manually copy each item while preserving your unique terminology; this guarantees searchable, error‑free organization and lets you keep the same workflow you already use. For a project of this size I typically start with a short audit of a sample set (about 50 items) to confirm my understanding of your naming conventions, then proceed in batches, logging progress in a shared spreadsheet so you can review and adjust any rules before we continue. Which part of your current system would you consider the most ambiguous – the way you name people, the pattern of your TODO tags, or the folder hierarchy? Looking forward to working with you. Greetings, Your project sounds like a fantastic opportunity to bring order to a complex array of links, bookmarks, and notes. By organizing your large backlog into an Obsidian vault, we can create a streamlined, user-friendly system that aligns with your existing filing structure. I will take the time to learn your specific terminology and patterns through direct communication, ensuring everything is categorized accurately. I've worked on similar organization projects, where attention to detail was crucial. For example, I helped a client consolidate thousands of research notes and resources into a cohesive database, which greatly improved their workflow and accessibility. My approach would be manual to ensure precision, as I believe that a personal touch is essential for this level of complexity. I'm looking forward to discussing how we can tackle this project together.

Hi, Your project is exactly the kind of work that requires patience and attention to detail. I'm comfortable working manually and understand that AI should not be used for any part of the process. I'll first learn your Obsidian structure, naming conventions, and filing rules, then organize everything consistently while checking with you whenever something is unclear. I prefer working in small phases so we can confirm the organization system before processing the entire backlog. To get started, I'd need your current vault structure, a few examples of correctly organized notes, and a sample of the files to estimate the scope. I'm reliable, detail-oriented, and happy to commit to a long-term project where accuracy matters more than speed.

Hello, I am a doctoral researcher and university lecturer, and much of my work involves organizing large volumes of documents, research notes, references, and information in a logical and consistent way. I am comfortable learning a client's own system and applying it carefully across a large dataset. For this project, I would first learn your filing structure and terminology through regular communication. I would document the rules as we go, ask questions whenever something is unclear, and apply the same logic consistently throughout the vault. Since you have specifically requested that no AI be used, I would complete the work manually. I believe this is the best approach for a project that requires understanding context, personal naming conventions, and a high level of accuracy. One example of similar work is organizing and managing extensive research materials, academic documents, and project files for my doctoral research and university teaching, where consistency and precision are essential. Before starting, I would need access to the files, an explanation of your current filing system, and your preferred communication method so I can clarify any uncertainties as they arise. After reviewing the files and understanding the scope, I will provide a realistic timeline with milestones for each phase of the project. I would be pleased to discuss the scope and help build a well-organized and reliable Obsidian vault. Best regards, Joseph A.

Hi — I want to be upfront: I'm not going to give you a rushed or unrealistic deadline. I respect your time and the scale of what you're asking for too much for that. I have hands-on experience organizing large volumes of documentation with a high degree of accuracy — I helped a small business in South Africa maintain and structure their full record-keeping system, which involved learning their internal terminology, patterns, and filing logic, then applying it consistently across a growing volume of documents. This would be a fully manual process on my end — reviewing each item individually, learning your specific terms, names, and filing patterns through direct communication with you, and applying that understanding consistently as I work through the backlog. To get started, I'd need: Access to the source documents/spreadsheets/bookmarks you want organized A walkthrough of your current filing system and key terminology Your existing Obsidian vault structure (or a description of it) so I can match your conventions exactly Once I've seen the actual volume and complexity of what needs sorting, I'll give you a clear, honest turnaround estimate rather than guessing upfront. Happy to answer any questions before we start.

Hi, this is Joshua from Davis. I have strong experience with careful data organization and complex information cleanup. I understand you need a large Obsidian vault built from thousands of items across many sources. Your main goal is to preserve accuracy while turning a chaotic backlog into a clear filing system. I would handle this manually, with only light workflow support if it never changes the data itself. I would first learn your terms, names, and filing rules from a small sample with you. Then I would map those rules into a consistent structure and apply them carefully across the backlog. I can work with spreadsheets, notes, links, and mixed file types, and I would keep detailed checks to avoid mistakes. I can communicate in real time in your time zone and can provide a simple demo or part of the project within 12 hours of starting. Q1: What is your current Obsidian folder and tag structure? Q2: What source files and formats make up the backlog? Q3: How do you want edge cases and unclear items handled? Best regards, Joshua
