Video Store Point of Sales Video Store Point of Sales is software to manage video rental store. The store manages the customers, video rentals and transactions. Customer There are three type of customers, one who are members based on monthly rentals for limited use also known as Monthly Bronze Customers, second category is Monthly Gold Customers and the third type is normal customers. Monthly Bronze Customers: These customers pay monthly dues as decided by the store and rent movies on regular basis. The number of movies the Bronze customer can rent at a given time are limited. This limit is set in the software. The monthly fee this customer is paid every month or the nearest time the customer comes to rent movie. Monthly Gold Customers are normally allowed to rent more movies at a time. The monthly fee is higher as compared to the Monthly Bronze Customers. Regular/Normal Customer is the one who comes to the store, rents a movie and pays for the rent of the movie. The store has fixed rental charges for renting each movie and the charges can changed by the cashier at the time of renting movie. This type of customer rents only one or two movies at a time and pays for the rental fee setup at that time depending upon the movie and generally the price per movie will be same. Items: The store can have two types of items in the store; items for rent and items for sale. Items for rent: These are items which are rented on regular basis. These can be of different categories and of different media. It can be video cassettes VHS tapes, DVDs or audio cassets. These categories are set by the store manager. These items are further divided into various languages such as Punjabi, Hindi, English or French. This is used for the cashier to search any type of rental. The items are also divided into various categories based on if it is a movie, a show, a serial or songs etc. The items for rent are also classified by type of rental such as comedy, serious etc. It is not necessary that each video has this classification. There is special category known as serials Serials are the long plays or shows which are covered on more than one cassettes. Each video or audio rental is normally copied to blank media and many copies are made when it is new. Many people can rent that video cassette but later the video cassettes are erased to record other video rentals. Video Serial Number: Each rental item has a serial number the serial number has 10 digits (may be more but for explanation I consider only 10 digits) in the form of XXXXXXXXXX. Here first five digit represent the item to be rented, next three digits represents the volume number (here volume number is part of the cassette i.e. if the show or the serial has 20 episodes and comes on 20 cassettes then the volume indicates which episode is this item. ) The last two digits represents the copy number of the item. The item is stored in the item database and is associated with the first five digits of the item. The copies and the volume number information is stored in another database. Proposed data structure for the video items is as below: Serial Number Item Name Item Media (Cassette, DVD, VHS etc.) Item Language (Hindi, Punjabi, English etc.) Item Type (Drama, Serial, Movie, Show, Serial etc.) Item Mode (Comedy, Serious, fighting, history etc.) Item Description: Small description of the item Starring 1: Name of the star Hero Starring 2: Name of the female star Heroin if any Starring 3: Other important star Starring 4: Any other mentionable star if any The following is declared in lists or in database so the manager can pick up instead of typing every time and avoid typing mistakes. List of media types List of Language type List of Item type List of mode type. Similarly the list of heros and stars can be created to avoid typing mistakes but not necessary. Rental Stock: It is database of serial numbers indicating the item as described in the item database and then the volume number and copy number. Renting an item: Normally the invoicing screen will be shown to the operator. The operator punch in the customer number or the customer phone number or the last name of the customer then the system pulls up the customer or the list of the customers based on the data entry (in case the last name is entered) The operator selects the proper customer and the customer information comes on the form. If the customers dues are pending then the popup window shows up and the colour of the customer name changes to red or some different colour. It is a reminder for the operator to ask the customer for the payment. Now the operator scans the items on the scanner and the items are listed on the customer. It is ensured that if the customer is bronze then the limit is not exceeded if the limit goes up it gives a warning but let the operator over ride it. Means that the operator can still continue to ignore the warning. Once the items have been entered and the operator chooses to close the current transaction then the information is stored in the transaction register database. Similarly when the operator is in receive mode then the item is scanned and automatically the items are deleted from the transaction register or marked as received back. A trail is kept in the aged file for keeping track who rented what in the last few months till the manager decides to purge the old data. Reports can be generated as below 1. List of movies rented in a day 2. List of Customers visited the store 3. List of Customers renting a movie or movies. 4. List of regular customers during the day 5. list of bronze customer with a marking who rented more than the limit 6. List of gold customers 7. List of outstanding items outstanding for number of days 8. List of outstanding items considered writeoff 9. List of the customer who have not visited the store for given time length. 10. Any other report seems suitable The system is capable of printing the labels to put on the video cassettes or DVDs using laser printer or dot-matrix printer. The system also keeps track of the salable items and when the salable item is scanned or entered in the system using keyboard it allows the cashier to enter the price and then adds that to the sales transaction records. At the end the sales of the day can be printed and also it is printed that what is the total revenue generated during the day by customer monthly fee paid or the regular customer rental and the sales of the items. The sales item can or can not be in the sales item database.
