Update a drupal commerce website

Project web sites [login to view URL] + [login to view URL] We have different clients that order our products, these clients have all different prices that they benefit from pursuant to their status (wholesalers, pharmacies, individuals, dentists etc). Some have warehouses that need to be delivered while they have billing addresses that are different, some have many different warehouses (with the same billing address). We wish to concentrate on our website all of our orders and integrate accounting analytical tools in order to track in realtime our sales (per region, per product, per category (Broxo or Eros), per client, per date of sale as a normal accounting tool would allow for such as checking for overdue invoices and allowing for acquittals). We wish to integrate an automatic fulfillment warehouse that will receive our order as they come in for all our clients. Sources of incoming sales: 1. Internet clients: we have clients that order as of today on our website. We wish for them to continue to order as they do. However we wish for the client to be accompanied in a better way: we wish to regroup all our products under a comprehensive webpage where they have a general view of all our products for sale. Moreover, we wish to help our clients have an automated address check as exists on Amazon to reduce risks of lost parcels and to allow for a clean and comprehensive database, as well allow for “autofill” for the clients who have the option on their browser (autofill address, name etc). These clients will have to receive a confirmation of receipt of their order with an invoice. The shipper will send them tracking codes and a hard copy of the invoice (i.e. not us). 2. Dentist clients: We have dentists and doctors who recommend our products to their patients. These dentists have the right to offer a special price to their clients (same special price for all dentists) who therefore benefit from a discounted price compared to the regular clients. These clients will be offered by their dentists promotional codes (affiliated to his or her specific dentist that will allow to know which dentist sent that client) that will allow them, during the checkout phase, to redeem their price reduction. As the dentist is part of the offer, the latter will have to be included in the invoicing (we were thinking that the dentist will receive an email with the copy of the clients order for follow-up reasons and also to make sure that the person using his/her promotional code is not an imposter). There will be one promotional code per dentist that shall be changed every trimester or another defined time period (we need to find the easiest way to generate these codes and email them out automatically to each dentist). 3. Pharmacies: they benefit from discounted prices (same prices for all). We wish for them to have dedicated logins that give them access to a one page order form (with their prices – identical in text and images to the one page all other clients have access to on the site) to choose their products. We wish to validate these orders as we don’t want these clients to order too many products as they order either with a 30 day delay payment (and they could order and never pay)or by credit cards, in any case we don’t want them to order without our consent. They will have only one delivery address and may not create or amend their profile on their own (we set it up and amend it). In order not to miss an order that is pending we would like that an email alert be sent. 4. Wholesalers: we have a limited amount of wholesalers. They benefit from discounted prices but however have different advantages for different reasons. Most of them have different hubs where they ask the products to be delivered for logistical reasons (but only one billing address). These hubs will have to be stored in the memory of the shipping addresses for that specific client. Some pay no VAT and some pay but need detailed invoices with the VAT they pay and with deductions they may benefit (% and net$/€ etc equivalent). We wish for them to have dedicated logins as the Pharmacies. Orders will have to be validated by us. We will be the only ones to create/amend their profiles. In order not to miss an order that is pending we would like that an email alert be sent. Accounting 1. Invoice: we need no be able to generate invoices per every order (in pdfs). These invoices need to contain a number of details such as our address, our tax representative, our tax numbers, VAT, our bank account(s) ( – we have three different bank accounts; see below), the product and its price, and invoice number, delivery address and S&H fees. a. We have three different bank accounts that need to be stated on the invoice of each order that it is specific to: i. One in euros in France for our French wholesalers and other clients that may wish to buy and pay with checks or through bank transfers or for any other reason they may express. ii. One in euros in Switzerland that allow for all of our sales through credit card on our site to be credited to. This account is used primarily by internet customers with credit cards and some European wholesalers. iii. One in Swiss francs in Switzerland that is used for Swiss client ordering with bank transfers in Switzerland. Swiss clients ordering on the website pay in euros and therefore are not interested by the Swiss francs account. iv. To summarize: 1. All wholesales and pharmacy orders and accounts will be manually chosen at start by us at the creation of the client account (no change by client, only by webmaster or us if needed one day). 2. All orders on the internet with creditcards will have the Euro account in Switzerland. 3. All orders by check or payment from Switzerland or from France or any other country will be manually inputted by us and we will choose the Swiss franc/ Euros or other account that is necessary. b. The S&H fees: i. are fixed rates for all customers ordering on the web (regular clients). ii. are fixed rates till 30kg, after that the prices go up and we need to be able to automatically input these changes if needed. iii. We also need to be able to change shipping fees manually if needed. c. VAT: 20% VAT, however we need to have VAT included prices and excluded (hors tax and TTC). For manually added orders or orders from countries that have no VAT (to be defined) we need to be able to control VAT. This is equally true for professionals that have special derogations and don’t pay VAT. i. We have specific obligations that need for us to include on all our invoices our VAT affiliate number + our tax representative (there are other infos that have to be included on the invoice as stated in the introduction). d. Product prices must be adjustable for manual orders to offer discounts. i. Discounts could be added for specific groups of clients for special occasion (Christmas etc…) and then automatically added to corresponding orders. e. Replacement products under guarantee (we need to have a freedom on prices, product could be send for free when needed or at any manually inputted price) 2. Analytics: a. We need to be able to research sales per country, name, invoice number, product sold, bank account time period, and status (paid/overdue) we should be able to choose different searches with Boolean filters. b. We would like to compare our sales performance over years, months, countries, clients. i. We should be able to print copies or send copies of these results. 3. Accounting management a. We need to be able to keep track of our clients’ invoices and mark them as “paid” once we receive their payment. b. We need to keep track of overdue invoices. Fulfillment 1. Our fulfillment agent needs to receive the shipping information in XML format. Newsletter We need to be able to send a newsletter to specified groups of clients in specified regions.
